Executive Assistant resume example
EA resumes are calibrated on three things: the level of executive you support (C-suite, SVP, founder, board), the scope of what you own (calendar, travel, expense, board prep, event management), and the company stage or scale. Generic 'provided administrative support' phrasing is invisible — every EA has done that. What separates strong candidates is specific numbers (meetings/week, trips/quarter, expense spend managed, board-meeting cadence) and fluency in the exec-support toolchain.
How to write a strong executive assistant resume
- 1Lead with executive level + company stage: 'EA to CEO, 1,200-person Series D SaaS'. 'EA at Acme' is ambiguous.
- 2Quantify scope: meetings coordinated per week, travel bookings per month, expense reports processed, board meetings prepared per quarter.
- 3Name your stack: Google Workspace vs Office 365, Concur/Expensify/Ramp for expense, Navan/TravelPerk for travel, Asana/Linear/Notion for project tracking, DocuSign for contracts.
- 4Distinguish individual-EA work from chief-of-staff hybrid work. If you ran projects, owned headcount planning, or sat in on exec staff meetings, call it out explicitly.
- 5Discretion and executive presence are table stakes — show them via specific cadences (weekly 1:1s with exec, monthly board-prep, quarterly off-site coordination) rather than claiming them as adjectives.
Sample experience bullets for executive assistants
Copy these as a starting point and adapt with your own numbers. Every bullet is written to read well in an ATS and on a recruiter skim.
- ▸EA to CEO of a 1,200-person Series D SaaS; coordinated 45 meetings/week across 4 time zones, managed $180k annual expense spend in Ramp, booked ~12 international trips/quarter via Navan.
- ▸Owned quarterly board-meeting prep for a 9-director board: deck coordination across 5 functions, pre-read distribution 10 days out, meeting-day logistics, and action-item tracking in Asana.
- ▸Planned 3 off-sites per year (40-60 people, 3-day format) including venue, travel, agenda flow, and $280k combined annual budget — all on time and 4-8% under budget each.
- ▸Trained and onboarded 2 new EAs during the 2024 department expansion; both promoted to Senior EA within 12 months.
